Terms of Service

Last updated 13 October 2026 (revised: paying online, automatic renewal, late payment, deletion, and the “Powered by Belloft” notice)

These terms govern the use of Belloft (“the Service”), a school management system provided by the platform operator (“we”, “us”). They apply to schools that subscribe to the Service and to everyone who uses it on a school’s behalf or at its invitation: staff, parents, guardians and students.

1. Who these terms are between

The school that signs up (“the School”) contracts with us. The School’s administrator accepts these terms, the Data Processing Agreement and the Privacy Policy on the School’s behalf and confirms that they are authorised to do so.

Staff, parents, guardians and students use the Service because their school has invited them. Their relationship about their personal information is with their school, which decides how it is used (see the School’s privacy notice).

2. The Service

The Service lets a school manage admissions, students, classes, attendance, timetables, assessments and report cards, fees and payments, communication, welfare, documents and related records. Each school’s data is kept in its own separate database.

We may improve or change features. We will not remove a core feature a school relies on without reasonable notice.

2A. “Powered by Belloft”

Every page of the School’s portal (including its sign-in, admissions and invitation pages) and every document the Service produces (including report cards, receipts, letters and identity cards) shows a small “Powered by Belloft” notice. The School may use its own logo, colours and fonts, but must not remove, hide, cover or alter this notice, or ask anyone to do so. This applies to every plan unless we agree otherwise in writing.

3. Accounts and security

Each person must keep their password private, must not share their account, and must tell the school promptly if they believe their account has been misused.

The School is responsible for who it invites, what access it gives each staff title, and for removing access when someone leaves.

Platform support access to a school’s account is only used to help the School, is clearly marked, is recorded in the School’s activity log, and cannot open private messages.

4. Acceptable use

You must not: use the Service for anything unlawful; upload content that is abusive, defamatory, obscene, or that harms a child; try to access data you are not entitled to see, including another school’s data; probe, scan or test the Service’s security without our written permission; interfere with its operation; send spam or phishing; or copy, resell or reverse-engineer the Service.

Messages between parents and staff must be respectful and about the child’s education and welfare. Schools may set their own conduct rules on top of these terms.

Messages are encrypted when stored (“encrypted at rest”), not end to end, because the School’s principal or administrator may be given access to conversations: when a teacher shares a conversation, or when the School turns on “always share” for safeguarding. Everyone using messages should write knowing that school leadership may read them.

5. The School’s data

The School owns its data. We process it only to provide the Service and on the School’s instructions, as set out in the Data Processing Agreement.

The School is responsible for the accuracy of what it records, for having a lawful basis for collecting it, and for giving the notices and obtaining the consents the law requires, including parental consent where needed for children.

The School can download its records at any time. When the School leaves, we keep its data for 60 days so it can be exported, then delete it, except where the law requires us to keep something longer.

6. Plans, the free trial, payments and late payment

The Service is offered on these plans: a free trial; a subscription; the founding setup plan; and custom arrangements we agree in writing. The current prices are published on our website and shown to the School’s administrators under Plan & billing. Prices depend on the number of students at the School: the number counted from the School’s records, or, until that count is available, the number the School gave us. Staff, parent and guardian accounts are not limited on any plan.

  • Free trial. A school may start one free trial, for the number of days stated when it signs up, with every feature and without paying. One trial is allowed per school and per email address or phone number. A trial carries no obligation to buy. During a trial the School may have up to the number of students shown on our website and in its Plan & billing page, and the parent portal (parents signing in, parent invitations, and parents paying fees online) is not available until the School chooses a plan. We may extend a trial, and we may end or refuse trials that are misused.
  • When a free trial ends without a plan being chosen, the School is closed: no one can open, view or export the School’s records until a plan is chosen. Schools that want to keep their records must choose a plan before the trial ends. If no plan is chosen within the number of days after the trial ends shown on our website and in the School’s Plan & billing page, the School and its database are permanently deleted and cannot be recovered. We remind the School’s administrators before the trial ends and again when it ends.
  • Subscription. The School pays the price for its size, in advance, monthly, per term (covering the number of months stated with the prices) or per session (twelve months, with the discount stated with the prices). If the School grows beyond the size its price is based on, the price for its new size applies from its next invoice after we tell it through the platform, never to time already paid for.
  • Founding setup plan. A limited number of founding places is offered, as shown on our website, until they are taken or we withdraw the offer. A founding school pays a one-time setup fee, for which we set up the School, move into the Service the existing records the School gives us in a readable form, and train its staff, as agreed with the School when its place is confirmed. The setup fee includes the number of free months stated with the offer. After that the School pays the founding monthly price for its size, which is not affected by later increases to our prices for as long as the School keeps paying without a break of more than 90 days. If the School leaves and later returns, our prices at that time apply. After the founding places are taken or withdrawn, setup services are available on request at a price we quote.

Invoices and paying. We issue an invoice for each period, usually seven days before the period the School has paid for ends. The School can pay online through Paystack (by card, bank transfer, USSD or bank account) or by bank transfer to the account we state, using the invoice number as the reference. All payments are made to the operator named at the top of these terms, which runs the Service under the name Belloft. A payment counts once Paystack confirms it to us directly, or once we confirm a bank transfer has arrived. Receipts are available under Plan & billing. Prices are in Naira for schools in Nigeria and in US dollars for schools elsewhere, and do not include VAT unless an invoice says so.

Automatic renewal. If the School chooses to save a card when paying, it authorises us to charge that card for each new invoice on its due date, and to try again over the following days if a charge fails. The School can turn automatic renewal off at any time under Plan & billing; the saved card is then removed. Card details are held by Paystack; we keep only the card type, its last four digits and an encrypted token that lets Paystack charge it.

  • Late payment. If an invoice is not paid by its due date:
  • For up to 7 days, the School works normally and its administrators are reminded.
  • From the 8th day until the 30th day, the School is view-only: records can be viewed and downloaded, but nothing new can be added. Parents can still see their children’s records.
  • After the 30th day, the School is paused: only the School’s administrator can sign in, to pay or to download the School’s records. We keep reminding the School’s administrators through the platform and by notification.
  • When the School has been paused for 90 days, we may give it a final notice through the platform. If the School is still unpaid 30 days after the final notice, and we have not agreed to keep it, the School and all its records are permanently deleted, including our own backups, and cannot be recovered. Backups the School has saved to its own storage are the School’s and are not affected.

Paying at any point opens everything again straight away. We may, at our discretion, extend a School’s access or keep a paused School from deletion. These periods are shown in the School’s Plan & billing page; if we change them, we will tell the School’s administrators first.

Cancelling and refunds. The School may stop using the Service at any time; the School then keeps access until the end of the period already paid for, and we do not charge it again. We do not refund periods that have started. The founding setup fee is refundable only before the setup work begins. A School that leaves should download its records before its paid period ends.

Price changes. We set the prices and may change them, for example when hosting or computing costs or exchange rates change, or features are added. We will tell the School’s administrators through the platform before a new price applies to the School, and a new price applies only from the School’s next invoice.

Online fee payments made by parents go directly into the School’s own Paystack or Flutterwave account under the School’s own agreement with that provider. We do not hold or handle the money and are not responsible for the provider’s service, charges or settlement. Bank transfers are confirmed by the School.

7. Documents and verification

Documents produced by the Service carry the School’s logo as a watermark and a unique verification code. Verification confirms what the School’s records show; the School is responsible for the accuracy of what it issues.

8. The School’s own storage

The School provides, and pays for, its own file storage: Google Cloud Storage or another S3-compatible provider (such as Cloudflare R2, Backblaze B2, Amazon S3, Wasabi, or a MinIO server the School runs). The School connects it under School → Storage. We do not keep the School’s files.

The following are kept in the School’s storage, not by us: student and staff photos; nightly backups; archived older records; and cached copies of report cards and receipts. Only small records of these files (their names and sizes) are kept in the School’s database. The School’s logo is the one exception: it is kept in the School’s database so pages and documents always show it.

The School is responsible for its storage account: keeping it private, keeping the access keys valid, paying its charges, and where its provider holds the data. If the storage is disconnected, unpaid or unavailable: photos cannot be shown or added; nightly backups and archiving stop; and archived records cannot be retrieved until it is available again. Files the School deletes from its storage are gone permanently, and we cannot recover them.

9. Documents, archiving and how long records stay in the app

Report cards, receipts, offer letters and ID cards are generated when someone downloads them, and may be cached in the School’s storage to keep busy days fast. Only a small verification record is kept for each.

To keep the School’s database small and fast, bulky everyday detail from the past is moved to the School’s storage automatically and removed from the database only after the file has been written and checked. This covers: daily register marks from past terms (each student’s attendance totals stay on report cards); homework ticks and marks from past sessions (the homework itself stays); read receipts on notices older than the period the School sets (12 months by default; the notices stay on the School’s list); activity log entries older than the period the School sets (24 months by default); and checked bank-transfer notices older than 6 months (the payments they created stay). Messages, results and report cards, payments and receipts, and student and staff records are never archived.

Archived records can be retrieved at any time under School → Storage. They are put back in the app for 30 days, then archived again automatically.

10. Availability and backups

We aim to keep the Service available at all times but cannot guarantee it will be uninterrupted. Planned maintenance will, where possible, be done outside school hours.

The Service is designed to run without errors. If the School reports a problem through the Platform support channel in the app, we aim to attend to it within 48 hours of the report. We do not provide round-the-clock support.

When the School has connected its storage, a backup is written there every night, and the latest 7 nightly backups are kept, with 5 made by hand and 3 taken before any restore. The School can also download a full backup to its own computer at any time, and is reminded weekly. Those downloads contain personal data, and the School is responsible for keeping them safe. We keep no backups of the School. Without connected storage, the only backups are the database provider’s own short history and whatever the School has downloaded.

11. Usage monitoring and the platform channel

To keep the Service healthy, we monitor each School’s database size and activity, and the space the Service uses in the School’s storage. The School sees its own storage usage; database figures are seen only by us. If a School’s use goes beyond the limits of our database plan, we will alert the School’s administrators, and any change to fees will be agreed in writing first.

We provide a private channel between us and each School’s administrators for support and alerts. It is encrypted, and only we and that School’s administrators can open it. Websites cannot fully prevent screenshots or screen recording, which are features of people’s devices. The channel discourages and traces them instead: it hides itself when the window loses focus or a screenshot or print shortcut is pressed, blocks copying and printing, and shows the viewer’s name as a watermark. Users must not capture or share its contents without permission.

12. Responsibility

Nothing in these terms limits liability for fraud, for death or personal injury caused by negligence, or anything else that cannot be limited under Nigerian law.

Otherwise, our total liability to a school in any 12 months is limited to the fees the School paid us in that period, and we are not liable for indirect loss, lost profits or loss caused by a school’s own instructions, its users, or third-party services such as payment providers and the School’s storage provider.

13. Suspension and ending

We may suspend an account that seriously breaches these terms or threatens the security of the Service or other schools, and will tell the School why. Either side may end the agreement with 30 days’ written notice. What happens when a free trial ends without a plan is set out in section 6.

14. Changes to these terms

If we change these terms we will update the date at the top and ask each School’s administrator to accept the new version. Material changes take effect 30 days after notice unless the law requires sooner.

15. Law and disputes

These terms are governed by the laws of the Federal Republic of Nigeria. We will first try to settle any dispute by good-faith discussion; failing that, by mediation, and then by the courts of Nigeria.

Contact: belloft@olexweb.com, the operator’s registered address.

16. Schools outside Nigeria

Schools outside Nigeria may use the Service in the countries where sign-up is offered. These terms remain governed by the laws of Nigeria, as set out in section 15.

A School outside Nigeria is responsible for making sure that its use of the Service, and its handling of the personal data of its students, parents and staff, meets the laws of its own country, including any registration with its data protection authority. Records are stored as described in our Privacy Policy.

Prices for Schools outside Nigeria are shown in US dollars. We tell the School how to pay.
